Is Notion AI Safe for Business Documents? What Your Plan Decides

Updated on November 2, 2026

Is Notion AI safe for business documents? Yes on the written promises: Notion states that neither it nor its AI providers train on your content by default. The plan you pay for decides how long those providers may keep your text, and two settings decide how much an outside web page or file can steer the AI.

TL;DR: Is Notion AI safe for business documents? Notion's own security page says customer data is not used to train models by default, and AI providers keep your data for 30 days or fewer on Free, Plus and Business plans. Most models on Enterprise keep nothing after the reply. Notion AI reads only pages you can already open, so a tidy sharing setup matters most. In 2025 and 2026 researchers showed that hidden text in an uploaded file could push the AI to leak page contents, and Notion fixed both reported cases. DocsAura, an AI document design tool, takes one finished file and connects to nothing else in your workspace.

Is Notion AI Safe for Business Documents? Three Things Decide It

Notion AI is the assistant inside the workspace where many small businesses already keep proposals, meeting notes, price lists and client pages. The question to ask is which of three things applies to you: the plan you are on, the pages the AI can reach, and the outside content you let it read.

What Notion says about training

Notion's AI security page states that, by default, neither Notion nor its AI providers use your customer data to train any models. Its contracts with those providers prohibit training, and the ban applies to every company in the chain, including companies that only host a model. [^1] Notion also runs an opt-in program called AI LEAP, where a workspace shares data to improve the underlying models in exchange for early access to new features. [^2] Check that nobody on your team switched it on.

You own what you put in and what comes out. Notion states that your input and output count as your customer data. [^1]

What Notion says about storage, by plan

Storage is the part that changes with your plan. Notion's page lists the following. [^1]

Notion builds a search index of your pages using zero-retention models. The index sits in a vector database called Turbopuffer, separated per workspace, and its entries are deleted within 60 days of the page or workspace being deleted. [^1] A page you delete stays restorable for 30 days. [^1]

One more plan fact: AI on Free and Plus is a trial. Notion's help page says that once the trial usage is spent, you need the Business or Enterprise plan to keep using AI features. [^3] Most small teams that use Notion AI daily are therefore on Business, so the 30-day provider window is the realistic default for them.

What Notion AI can see in your workspace

Notion states that its AI respects existing permissions: the models cannot see or use content you cannot already open. [^1] That protects you from outsiders and gives every insider a very capable search box. A pricing page shared with the whole workspace, an old client folder or a staff salary table can surface in an answer to a casual question. Look at who can open your client pages before you turn AI on for the team. Is It Safe to Connect Google Drive to AI? covers the same folder check for another tool.

What Went Wrong in 2025 and 2026

Two public research reports show the risk that written promises cannot remove. Both involve prompt injection, which means instructions hidden inside content that the AI reads and obeys.

In September 2025, security researchers at CodeIntegrity showed that a malicious PDF could push Notion's AI agent to send data out through its web-search tool. Notion responded with better detection of injection patterns, including those hidden in file attachments, tighter controls on external links and admin tools that limit when agents touch outside content. [^4]

In January 2026, PromptArmor showed a second path. A resume PDF carried hidden instructions in one-point white text. When a user asked Notion AI to update a hiring tracker from that resume, the AI inserted an image whose web address contained the tracker's text. The edit was saved before the user approved it, so the browser requested the image and sent the data to the attacker even if the user clicked decline. PromptArmor reported it on 24 December 2025 and published on 7 January 2026. Notion confirmed that a fix was in production the same night. [^5]

Both holes are closed. The lesson stays: a file from a stranger can carry instructions that you cannot see.

What We Found Reading Notion's Security Pages

We read Notion's AI security page, its AI safety page and its trial-usage page on 2 November 2026, then lined up what each plan gets on four points. Training and permissions match across plans. Storage and the contract differ.

Point Free and Plus Business Enterprise
Training on your content Off by default Off by default Off by default
AI provider retention 30 days or fewer 30 days or fewer Zero for most models
Full Notion AI access Trial only Included Included
Reads only pages you can open Yes Yes Yes

The pattern matches what we found for the other assistants: the written promise is the same everywhere, and the storage window shrinks as the plan gets bigger. Free vs Paid AI Tools for Business Documents lays out the same split across tools.

Three Steps Before You Turn On Notion AI for Client Pages

This check takes about ten minutes.

  1. Look at the sharing. Open your client and finance pages and read who can view them. Remove "everyone in the workspace" from anything the whole team has no reason to read.
  2. Look at the web settings. PromptArmor lists these controls: in Settings, under Notion AI, restrict the connectors you allow, turn AI web search off for the workspace if you never need it, and switch on confirmation for web requests. [^5] Each one removes a path that hidden instructions could use.
  3. Look at the file. Run a file from a stranger, such as a resume or a vendor PDF, through your own eyes first, and keep account numbers, ID numbers and health details out of AI chats. What to Redact Before Uploading a Document to AI gives the checklist, and How to Test a New AI Tool Safely shows how to start with a low-stakes document.

How Notion AI Compares With the Other Assistants

Every vendor splits the same way: the written promise is strong, and the plan or sign-in decides the details. Read the matching checks for Google Gemini, Claude and Microsoft Copilot. For ChatGPT, see Is ChatGPT Safe for Business Use?. DocsAura vs Notion compares what each tool does for the final page a client opens.

For an owner who already lives in Notion, a simple default works: use Notion AI for drafting and searching on the Business plan, fix the sharing first, and switch off web search unless a task needs it.

Where DocsAura Fits

Notion AI works across your whole workspace, which is its strength and the reason the sharing check matters. A finished client document asks for something smaller. DocsAura, an AI document design tool, takes a DOCX or PDF you already wrote and checked, including a page you exported from Notion, and returns a designed HTML page in about two minutes. It reads one file at a time. No workspace, drive or inbox is connected, so there is no sharing setup to review. You can click any text to edit it, then export a PDF or share a link.

Try It on One File You Already Have

Pick a document that is finished and reviewed, such as a client update, a quote or a report. Export it from Notion as a PDF or Word file, drop it into DocsAura, the AI document design tool, and see what comes back in about two minutes. There is nothing to set up and nothing to keep running afterwards. If you like the result, use it for the next one. If a section needs a change, click it and edit it.
