To delete a document from an AI tool, remove the chat it was uploaded in, then check the places where AI tools keep separate copies: file libraries, projects and saved assistants. Deleting the chat alone leaves some of those copies in place, and the whole job takes about five minutes.
TL;DR: A document you upload to an AI tool can live in up to four places: the chat, a file library, a project or custom assistant, and a public share link. Delete each one, then expect a short wait. ChatGPT and Claude both schedule deleted chats for permanent removal from their systems within 30 days. Gemini starts the process right away and keeps a copy for up to 72 hours if you turn activity saving off. Narrow tools like DocsAura, an AI document design tool that handles one file at a time, leave fewer places to check.
You uploaded a client quote last month, or a staff schedule, or a report with real numbers in it, and now you want it gone. The delete button exists in every major tool. Finding all the places that need the button is the part nobody explains.
How to Delete a Document From an AI Tool: Find Every Copy First
Before you click anything, list where the file could be. AI tools store a document in more than one place because each feature keeps its own copy. Check these four, in this order:
- The chat. The conversation where you attached the file, including the AI's replies that quote it.
- A file library. Some tools save uploads separately from the conversation so you can reuse them later.
- A project, custom assistant or "Gem." Files you added as reference material stay with that project or assistant until you remove them.
- A share link. If you ever shared the chat with a colleague, a public link exists outside your account view.
Write down which of the four apply to the file. Most owners find two. A few find all four.
Step 1: Delete the Chat
This removes the conversation, the file you attached to it and the AI's answers. Here is where to click in each tool.
ChatGPT. Open your chat history, select the three-dot menu next to the chat, choose Delete and confirm. OpenAI's help page says the chat leaves your account view immediately and is scheduled for permanent deletion from its systems within 30 days, unless it was already de-identified or OpenAI must keep it longer for security or legal reasons. You cannot restore it afterward, even through OpenAI Support.[^1] Archiving looks similar and does something different: an archived chat stays saved under the same retention rules, so choose Delete.
Claude. Delete the conversation from your chat list. Anthropic states that a deleted conversation is removed from your chat history immediately and from its back-end storage systems within 30 days.[^2]
Gemini. Go to Settings & help, then Activity, and choose what to delete: a single item, a day, a custom range or everything. Google says it removes the activity from view first, then starts a process to delete it from its storage systems.[^3]
Step 2: Check the Separate Copies
This step catches what most people miss.
In ChatGPT, deleting a chat does not delete a file that was saved separately in Library. OpenAI's help pages tell you to delete that file from Library yourself.[^1] Files you added to a project stay until you delete the project or the file, and files added as knowledge to a custom GPT stay until the GPT is deleted. After you delete those, OpenAI schedules the associated data for deletion within 30 days.[^4]
In Gemini, deleting a conversation with a Gem does not delete the Gem. If you gave a Gem your document as reference material, open the Gem and delete it there too.[^3]
In Claude, check any project you added the file to and remove it from the project as well as from the chat.
Step 3: Remove Any Public Link
If you ever clicked Share on a chat, the link works for anyone who has it. Google's help page states that deleting a shared Gemini chat does not delete the related public link, and you have to remove the link separately.[^3] Open your tool's list of shared links and delete each one. This takes a minute and closes the one copy that sits outside your account.
What We Found When We Read Three Delete Pages
We read the official delete and retention pages for ChatGPT, Claude and Gemini and listed every place a single uploaded document can sit after you attach it. All three tools keep the file in the chat. ChatGPT adds three more possible homes (Library, projects and custom GPTs), and Gemini adds two (Gems and public share links). Two tools publish a hard outer limit for a deleted chat to leave their systems: 30 days for ChatGPT and Claude. Gemini describes the removal process without a number, and gives 72 hours as the copy window when activity saving is off.
The result for a busy owner: the delete click is the same one-minute job everywhere. The work is remembering the second and third location.
What Stays Behind After You Delete
Deleting is real, and it has edges. Plan around these four:
- The wait. Removal from your view is instant. Removal from the provider's systems takes up to 30 days at OpenAI and Anthropic.
- Legal and safety holds. Both companies say they may keep data longer when the law or a safety review requires it. Anthropic keeps chats flagged for policy violations for up to two years.[^2]
- Feedback. If you clicked a thumbs-up or thumbs-down on a response, Anthropic keeps the data tied to that feedback for five years.[^2]
- Training that already happened. Anthropic says deleting a chat keeps it out of future model training, while runs already in progress and models already trained are unaffected.[^2]
Deleting remains worth doing, and the strongest protection comes before the upload. Our guide on what to redact before uploading a document to AI shows which fields to swap out first, and how long AI tools actually keep your documents lays out the retention clocks side by side.
Turn Off Saving So the Next Upload Needs No Cleanup
Each tool has a lighter mode for sensitive one-off work.
- ChatGPT Temporary Chat. These chats stay out of your history. OpenAI may keep a copy for up to 30 days for safety purposes.[^4]
- Claude Incognito chats. Anthropic deletes these automatically within 30 days, unless flagged as a policy violation, and does not use them for model improvement.[^2]
- Gemini with Keep Activity off. Conversations still sit with your account for up to 72 hours so Google can provide the service, and they do not appear in your activity list.[^3]
Use these modes for a file you would hesitate to hand a stranger. Set one up once, and the delete routine above becomes the exception.
A Smaller Footprint: Tools That Handle One File at a Time
A chat assistant remembers conversations, so it has libraries, projects and shared links to clean. A single-purpose tool has a shorter list. DocsAura, an AI document design tool, takes the Word or PDF you already wrote and returns a designed page. Its privacy policy says documents are kept as long as your account is active or until you delete them, and account data is deleted within 30 days of an account deletion request.[^5] There is one place to look.
If you are weighing which tools deserve a spot in your business, the article on how to test a new AI tool safely walks through a fifteen-minute trial that includes a deletion check, and is it safe to upload business documents to AI covers the broader question.
Your Five-Minute Delete Routine
- List the four possible homes for the file: chat, library, project or assistant, share link.
- Delete the chat.
- Delete the file from any library, project, custom GPT or Gem.
- Remove public share links.
- Note the date. Wait 30 days for ChatGPT and Claude, then consider the removal complete.
Run this once on a real file and it becomes a habit that takes under five minutes. When you are ready to try something smaller, drop one document you already have into DocsAura and see what comes back in about two minutes. It is one task, no setup and nothing to maintain, and the file is yours to delete when you are done.
